Sample letter for Assemblies

Here is a sample letter that you can use to request to hold a Guardians Assembly with your local school. You can either copy and paste this text into your own word processor, or you can download it as a Word document here, or print it out using the button at the bottom of the letter.

Subject: [Your charity or organisation name] New Initiative

Hello,

I am now booking Guardians of Ancora clubs for this term.

We would like to come into school and do a quick promotion of the club to your pupils (Years 4–6). This would involve showing them a 2-minute video about the game and then talking briefly about what we will do in the club. (For the promotion I would need a laptop with Internet connection, connected to a projector screen.) Would this be possible? I have also attached a letter template that could be sent out to parents for permission to attend the club after the assembly.

We previously mentioned that we will need to use ten of the school’s tablet devices and so they would need to be available each week when the club happens.

We do not need school staff to be present as we will have a minimum of two volunteers at the club each week: all volunteers are DBS checked. We just ask that if it is an after-school club there is a member of staff available at the end of the club to dismiss the children. It would be useful to use a room with a projector screen but not essential.

Please could you let me know what day/time would be best for the lunchtime or after-school club at your school?

Many thanks,

[Your name and role in the club or organisation]
